Vouchers
What this page is for
A voucher is a discount code, like a percentage or an amount off. Members type the code when they book or buy a membership in the client panel. Staff can type it in the Discount code box of New Booking and Sell Membership. Here you create the codes and decide who can use them, on what, and how often. What you see
- Export: download the vouchers on this page as Excel, CSV or PDF, or print them.
- Create Voucher: make a new code. You only see it if your role may add pricing.
- Search by title or code… and the pills All, Active, Inactive and Expired.
- One card per voucher, newest first, 20 to a page. It shows the code (with a copy button), the discount, the title, the status, what it applies to, how often it was used and its limits, and the start and expiry dates.
- Status is Active, Off, Expired, or Starts later (before its start date).
- On each card: the pencil (edit) and the bin (delete). You only see the buttons your role allows.
How to create a voucher
- Click Create Voucher.
- Type a Title. A Code is suggested from it. You can change the code: letters, numbers, hyphens and underscores only.
- Under Discount Type, pick Percentage (%) or Fixed amount, then type the value.
- Set Max Total Uses and Max Per Client if you want limits. Leave them empty for Unlimited.
- Pick a Start Date and an Expiry Date if the code should only work for a time.
- Leave Active on.
- Under Applies To, keep All Services, or tick Classes, Facilities, Trainers or Memberships. For each one you tick, pick All or Select specific and tick the items.
- Under Restrict to Client Groups, tick groups if only their members may use the code. Leave all unticked for everyone. (This part shows only when the gym has client groups.)
- Click Create Voucher.
How to change, pause or delete a voucher
- Change: click the pencil, change what you need, then click Update Voucher.
- Pause: edit it, switch Active off, and save. The card shows Off.
- Delete: click the bin and confirm. A voucher that has been used can't be deleted. Switch it off instead.
Good to know
- A code works only when it is active, between its start and expiry dates, and under its total limit.
- Max Per Client counts each client's own uses.
- A percentage can't be more than 100%. The discount is never more than the price.
- Each code must be different from every other code.
- After its expiry date, a voucher shows Expired by itself.
- If a booking or membership paid with a voucher is cancelled or fully refunded, the use is given back.
- The till (POS) does not take voucher codes.
- Who can do it: anyone who may view pricing sees this page. Creating, changing and deleting each need their own permission. The owner can do everything.
Common questions
A member says the code doesn't work. Why? Check the status and dates on its card, the limits, what it applies to, and whether it is limited to client groups the member isn't in.Can I make a code for one class only?
Yes. Under Applies To, tick Classes, choose Select specific, and tick that class.
Why can't I delete a voucher?
It has been used, and its uses must stay on record. Switch it off instead.
