Taxes
What this page is for
Here you set the taxes your gym charges, such as VAT, and what each one applies to. The app then works out the tax on bookings, room hire, memberships and shop sales by itself. What you see
- Export: download the list of taxes (name, rate, tax ID, status, what it applies to).
- Add Tax: add a new tax.
- A line under the heading saying where taxes are charged.
- The list: one row per tax, with its rate, its name, Active or Off, the tax ID number if you gave one, and "Applies to: …".
- On each row: Edit (the pencil) and Delete (the bin).
How to add a tax
- Click Add Tax.
- Type the Tax Name, for example VAT. Each name can be used only once.
- Type the Rate (%), a number from 0 to 100.
- If you like, type your Tax ID Number.
- Leave Active on to charge it.
- Under Applies To, choose All services, or tick one or more kinds: Classes, Appointments, Facilities, Memberships.
- For each kind you ticked, choose All of that kind, or Select specific and tick the items.
- Click Create Tax.
How to change or stop a tax
- Click Edit on its row.
- Change what you need. To stop charging it but keep it, turn Active off.
- Click Update Tax.
How to delete a tax
- Click Delete on its row.
- Confirm. It stops being charged at once.
Good to know
- Bookings and room hire: you enter the price before tax, and the tax is added on top. Clients see the price with tax included.
- Memberships: the tax is already inside the membership price.
- Shop products (at the till and in the Store) take only the taxes that apply to All services. You can't aim a tax at one product.
- Appointments means appointment services, such as personal training. You pick the service, not the trainer.
- Past sales keep the tax they were charged. Changing or deleting a tax only affects new sales.
- Two taxes can't share a name. This stops the same tax being charged twice by mistake. Every active tax that applies is added together.
- Delete can't be undone. Turn Active off instead if you may need it again.
- Who can do what: to open the page you need permission to view pricing. Add Tax needs permission to create pricing, Edit needs permission to update pricing, and Delete needs permission to delete pricing. The owner can do everything.
Common questions
Why does a product not get my tax? Products only take taxes set to All services.I changed the rate. Do old invoices change?
No. Past sales keep the tax they were charged.
Can I set a tax for one trainer?
No. Set it on the appointment service that trainer gives, under Appointments.
Why is a client charged two taxes?
Two active taxes both apply to that item. Check each tax's "Applies to" line.
