Custom Fields
What this page is for
Custom fields are extra boxes you add to your own forms, for example a blood type for clients or a specialty for staff. You can add fields to three forms: Staff, Clients and Leads. Staff fill them in when they add or edit someone. What you see
- Export: download every field from all three forms, as Excel, CSV or PDF, or print the list.
- Add Field: adds a field to the form whose tab is open.
- Three tabs, Staff, Clients and Leads, each with how many fields it has.
- The list of fields on the open tab. Each shows its label, a Required mark if it must be filled, its type, its key, and how many options it has.
- Edit (pencil) and delete (bin) buttons on each field.
How to add a field
- Open the tab for the form you want: Staff, Clients or Leads.
- Click Add Field.
- Type the Field Label. This is what staff see on the form.
- Check the Field Key. It is made from the label for you. You can change it now, but never later.
- Choose the Field Type: Short Text, Long Text, Number, Date, Dropdown, Multi-Select, Checkbox or Radio Group.
- For Dropdown, Multi-Select or Radio Group, type each choice under Options and press Enter or click Add. Click × to remove a choice.
- For text and number fields, you can add a Placeholder: a hint shown inside the empty box.
- Switch on Required Field if staff must fill it before saving.
- Click Create Field.
How to change or delete a field
- Click the pencil on the field.
- Change the label, type, options, placeholder or required setting, then click Save Changes.
- To delete, click the bin and confirm.
Good to know
- Where fields show: Staff fields on the staff member form, Client fields on the client form, Lead fields on the New and Edit Lead form in the Pipeline. When a lead becomes a client, its field values are copied to the client.
- Required fields must be filled before the form saves. Choices must come from the field's list.
- The key can't change once the field exists. It uses small letters, digits and _ only, and starts with a letter.
- Changing the type is refused once anyone has a value in the field. Add a new field instead.
- Changing the options doesn't break old records. A value someone already has is kept, but new values must come from the new list.
- Labels must be different within one form. A list field needs at least one choice, and choices must be different.
- Deleting a field removes the box from the form. Values already saved are kept, but no screen shows them.
- Your plan: custom fields are part of your subscription plan. If your plan doesn't include them, this page is hidden from Settings and new fields can't be saved.
- Who can do it: viewing, adding, editing and deleting each need their own custom-fields permission. The owner can do everything.
Common questions
Why can't I change a field's type? Some records already have a value in it. Add a new field with the type you want.I deleted a field by mistake. Is the data gone?
The saved values are kept, but nothing shows them. Add the field again with the same Field Key and type, and they show again.
Can I change the order of the fields?
Not on this page. Fields are listed in alphabetical order of their label.
