Pricing
What this page is for
A pricing rule changes what a booking costs. It can be for trainers, classes or rooms, and can apply only on some days or at some hours. Peak and off-peak prices are made here. Without a rule, the trainer's, class's or room's own price is used. What you see
- Export: download the list as Excel, CSV or PDF, or print it.
- Add Rule: make a new rule. You only see it if your role may add pricing.
- Tabs: All, Staff Member, Class and Facility, each with how many rules it holds.
- One card per rule: its name, who or what it covers, the price, the days, the hours, and how many conditions it has. A switched-off rule shows Inactive.
- On each card: the on/off switch, the pencil (edit) and the bin (delete). You only see the buttons your role allows.
- The rules are listed in the order they are tried (see "Good to know").
How to add a rule
- Click Add Rule.
- Type a Rule Name, for example "Weekend room rate".
- Under Applies To, pick Staff Member, Class or Facility.
- Pick the trainers, classes or rooms. Leave the box empty to cover all of them.
- Type the Base Price. It is in your gym's currency.
- For a room, choose the length under Per Duration, for example 1 hour.
- Under Active Days, click the days. Leave them all off for every day.
- If the price is only for some hours, set Applies From and Applies Until. Use Remove the time window to take them off again.
- If you want a different price by booking length, click Add Condition (see "Good to know").
- Read the Pricing Preview sentence, then click Create Rule.
How to change, pause or delete a rule
- Change: click the pencil, change what you need, then click Update Rule.
- Pause: click the on/off switch. A paused rule is not used.
- Delete: click the bin, then Delete rule.
Good to know
- Class and trainer rules are one price per session, whatever its length.
- Room rules are charged by length. A rule of 100 per 1 hour costs 300 for 3 hours. Each part of a long hire uses the rule in force at that time. Any part no rule covers uses the room's own hourly rate.
- Hours: a window from 17:00 to 21:00 covers a booking that starts at 17:00, but not one at 21:00. Set both times or neither.
- Conditions set a price by booking length, in minutes. The first condition whose Min (min) and Max (min) fit the booking gives the whole price.
- Which rule wins: a rule for named items beats a rule for all. Then a rule limited to days or hours beats one that always applies. If still equal, the newest rule wins.
- Prices are before VAT. The gym's taxes are added when the client pays.
- The same price is used at the desk, in the client panel and on the waitlist.
- A change is used for new bookings. Bookings already made keep their price.
- A trainer, class or room that was deleted shows as "no longer available". Take it off the rule.
- Who can do it: you need permission to view pricing to see this page. Adding, changing and deleting each need their own permission. The owner can do everything.
Common questions
I made a rule, but the old price is still charged. Why? Check that the rule is active, covers that day and hour, and that a more specific rule doesn't win. The list shows the order rules are tried in.Can a rule have its own currency?
No. Every price is in the gym's currency, set in Settings.
Why does a three-hour room hire cost more than three times the rate?
Part of it falls in another rule's hours, for example an evening rate. Each part is priced on its own.
