Memberships
What this page is for
Here you create the membership plans the gym sells: monthly or yearly plans, and one-time packs. A plan sets the price and the credits a member gets for bookings. To see who holds which plan, use Client Memberships. What you see
- The heading with how many plans there are and how many active subscribers they have.
- Export — Excel, CSV, PDF or Print. It follows your search.
- Add Plan — only if your role may create memberships.
- Search plans… and Filters: type (Recurring or Pack) and status (Active, Archived or All).
- One card per plan — the name, price per month or year (or the pack price and days), any joining fee, benefits, credit buckets and how many active subscribers it has. Badges show archived and private plans.
- The pencil (edit) and the bin (delete) on each card, shown only if your role allows them.
How to create a plan
- Press Add Plan.
- Fill in Plan Name and Description.
- Choose Plan Type:
• Recurring (Monthly / Yearly) — enter a Monthly Price and/or a Yearly Price. Leave one at 0 to not offer that cycle. Both at 0 makes the plan free.
• Pack (One-time purchase) — enter a Pack Price and Valid for (days). - Add a Joining Fee if there is one.
- Pick a Card Color and add Benefits (type one and press Enter or Add).
- Under Credit Allocation, press Add Bucket for each kind of credit:
• Applies To — Classes & Services, Facilities, Staff / Trainers, or Global (all types).
• Reset Period — Never reset, Reset Monthly or Reset Yearly.
• Quantity, or tick Unlimited credits.
- Turn on Visible on client portal if clients may buy it online.
- Press Create Plan.
How to stop selling a plan
- Press the pencil on the plan.
- Turn on Archived and press Update Plan.
- The plan is no longer offered to clients or at the desk. Members keep what they have.
How to delete a plan
- Press the bin on the plan, then Delete to confirm.
- A plan that has ever been sold cannot be deleted. Archive it instead.
Good to know
- Prices include VAT. Vouchers can be used on memberships.
- A recurring plan renews on its end date. It is paid from the client's wallet when automatic renewal is on, the gym takes wallet payments, and there is enough money. If not, it becomes Past due and the desk can take the renewal on Client Memberships. If nobody pays within the grace days, it expires.
- Monthly and yearly credits refill on the membership's own start day each month or year.
- A booking paid by credit takes one credit from a bucket that covers it. Cancelling the booking gives the credit back to the same bucket.
- A member can hold more than one plan or pack. When several can pay, the desk chooses which.
- Staff sell a plan from the client's page with Sell Membership. This needs the Sell permission for Memberships.
- Two plans may share a name. The form asks first.
Common questions
Why can't I delete an old plan? It has been sold at least once. Archive it: it disappears from sale and keeps its history.A plan shows "private". What does that mean?
Visible on client portal is off. Clients can't buy it online, but staff can still sell it.
Does editing a plan change what current members have?
Saving a new name, price or colour keeps the credits members already hold. To change what a sold plan includes, it is safer to archive it and make a new plan.
How do I give a member unlimited classes?
Add a bucket that applies to Classes & Services and tick Unlimited credits.
