Floor Maps

What this page is for

A floor map is a picture of your floor plan with bookable spots drawn on it. Clients see the map in the client panel, pick a free desk, seat or room, and book it. Each spot on the map is linked to a facility. The facility holds the price, capacity and rules.

What you see

  • New Floor Map — only if your role may create facilities.
  • Search name, location or floor…
  • One card per map — the picture, name, location and floor, how many spots and zones it has, and an Archived badge when it is archived.
  • Open Editor — opens the map to draw on it.
  • Edit, Archive / Restore and Delete buttons, shown only if your role allows them.

How to create a floor map

  1. Press New Floor Map (or Upload a floor plan when there are none yet).
  2. Choose a picture of your floor plan (JPG, PNG, WebP or GIF): up to 8 MB, at least 50 × 50 pixels and at most 20,000 pixels a side.
  3. The map is created with the file's name, and the editor opens.

How to draw bookable spots

  1. In the editor, pick a tool: Select (V), Rect (R), Point (P) or Zone (Z).
  2. Use Rect to drag a box for a room or desk. Use Point to drop a single chair.
  3. Select the shape. In the Inspector, pick its Facility, or press New facility to make one and Create & link.
  4. Each spot needs its own facility. Two spots on one map cannot book the same facility.
  5. Add a Label override or Colour if you want.
  6. Press Save Changes. If something is missing, Save says which spot.
  7. Press Delete or the Delete key to remove the selected shape.

How to use zones

  1. Pick Zone and drag over an area, such as a VIP corner.
  2. Give it a Label and choose a Client Group.
  3. Choose the Priority:
    • Soft — marks the area for the group; anyone can still book.
    • Hard — only members of that client group can book spots inside it.
  4. Press Save Changes.

How to change, archive or delete a map

  1. Edit changes the name, location label, floor and description. Press Save.
  2. Archive hides the map from clients. Restore brings it back.
  3. Delete removes the map with its spots and zones. The facilities stay. This cannot be undone.

Good to know

  • Creating, editing and deleting maps use the Facilities permissions. Staff without them can look at a map but not change it.
  • A spot is "offline" for clients when its facility is not active or not bookable.
  • A client books a spot under the facility's own rules: opening times, length, price and approval.
  • Leaving the editor with unsaved changes asks first.

Common questions

Why does Save refuse my map? A spot has no facility, or two spots book the same facility. The message names the spot.

A client can't book a desk inside a zone.
The zone is Hard, and the client is not in its client group.

How do I replace the floor plan picture?
There is no way to swap the picture of an existing map. Create a new map with the new picture, draw the spots again, then archive or delete the old one.
