Commission Rules
What this page is for
A commission rule says what a staff member earns from their sales. A rule can pay on bookings, on till sales (POS), or on both. The app then records what each person is owed, sale by sale. What you see
- Export: download the list as Excel, CSV or PDF, or print it.
- New Rule: add a rule. You only see it if you may manage finance.
- A short note that explains how a rule pays.
- Search by staff name…: finds rules by a person's name or email.
- The table: Staff Member, Rate, Type (percentage or fixed), Applies To, Min Threshold, Status (a green tick means active), and the edit and delete buttons at the end of each row.
How to add a rule
- Click New Rule.
- Pick the person in Staff Member.
- Under Commission Type, choose % Percentage or the fixed amount button.
- Type the Rate. For a percentage, 10 means 10%.
- Under Applies To, choose Bookings, POS Sales or Both.
- If you want, set a Minimum (see "Good to know"). Leave 0 for no minimum.
- Add Notes if you like, and leave Active on.
- Click Create Rule.
How to change or remove a rule
- Click the pencil at the end of the row.
- Change what you need. You can't change the person; delete the rule and make a new one instead.
- Click Save Changes.
- To remove a rule, click the bin and confirm.
- To pause a rule without deleting it, switch Active off and save. For bookings, the rate on Staff Members then applies, if one is set.
Good to know
- Who earns what: for a booking, the staff member assigned to the booking earns when the member is checked in. For a till sale, the staff member who made the sale earns at checkout.
- Percentage: a share of each sale's price before VAT. It can't be more than 100%.
- Fixed amount: paid once for each sale, whatever its price.
- Minimum: a monthly target. Until this person's sales of that kind reach it in the month, their commission lines are "held" (not owed yet). Once the month reaches it, they become owed.
- One rule for each kind of sale: a person can have only one active rule for bookings and one for till sales. "Both" counts as each. A second active rule is refused; edit the old one or switch it off first.
- Refunds: a refund takes back its share of the commission. A full refund takes all of it, a half refund takes half. If the commission was already paid, it comes off the next payout.
- No rule for bookings: the commission rate set on Staff Members is used instead, as a percentage of bookings.
- Deleting or switching off a rule works the month out again. Lines that were held because of its minimum become owed, because the sales really happened.
- Who can do it: anyone who may view finance sees this page. Only the owner, or someone with permission to manage finance, can add, change or delete rules.
- What people have earned is shown in Reports → the commissions tab.
Common questions
A trainer checked in a member but earned nothing. Why? Check that the booking has that trainer assigned, that the rule is active and covers bookings, and that the month's minimum has been reached. Why was my second rule for the same person refused?
A person can have only one active rule for each kind of sale. Edit the rule they already have, or switch it off first.
Does a rule count sales made before it was created?
No. Commission is worked out when a booking is checked in or a till sale is made.
Is the VAT included in the commission?
No. A percentage is always of the price before VAT.
