Client Memberships

What this page is for

This page lists every membership your clients hold: who has which plan, when it ends, and the credits left. Here you take a renewal that is due, or cancel a membership. To create or change the plans themselves, use Memberships. To sell a plan, open the client and use Sell Membership.

What you see

  • The heading with how many memberships there are across all clients.
  • Four boxes: Active, Expiring soon (ends within 14 days), Expired and Past due. They count the whole gym, whatever you filter.
  • Refresh and Export (Excel, CSV, PDF or Print of every matching membership).
  • Search client name or email…, the Expiring soon button, and Filters with the status: Active, Past due, Expired or Cancelled.
  • The list — client, plan, status and end date, with "N days left" or "Ends today" when it ends soon. A past-due row says Renewal due and the date it expires.
  • The panel — click a row to see the client's details, the plan and cycle (Monthly, Annual or a pack of N days), start and end dates, status and Credits Remaining for each bucket.

How to take a renewal

  1. Filter by Past due, or look for Renewal due in the list.
  2. Open the membership. The panel says what one more period costs and the last day to pay.
  3. Choose how the client pays, from the gym's payment methods.
  4. Press Take renewal. The membership runs for one more period.

How to cancel a membership

  1. Open the membership and press Cancel Membership.
  2. Read the question and press Cancel Membership to confirm, or Keep membership.

Good to know

  • Only an Active or Past due membership can be cancelled. An expired or already cancelled one cannot.
  • Cancelling ends the membership now. Its credits can no longer be used. Bookings already paid by credit stay booked. A voucher use on it is given back.
  • Cancelling does not refund money. Make refunds on Payments.
  • The client is told by email and in the client panel when their membership is cancelled.
  • A renewal can be taken only when it is due. An active plan is renewed on its end date, not before.
  • Past due means a recurring plan reached its end and was not paid automatically. If nobody pays within the grace days, it becomes Expired.
  • A membership whose end date has passed counts as Expired, even before the hourly check updates it.
  • Cancelling needs the right to update memberships. Taking a renewal needs the right to sell memberships.

Common questions

Why can't I cancel this membership? It has already ended (expired or cancelled), or your role may not update memberships.

What does "Past due" mean?
The plan ended and the automatic renewal could not be paid, for example because the wallet was too low. Take the renewal here, or let it expire.

Does cancelling give the client their money back?
No. Refund them on Payments if needed.

Why does a pack show "N days" instead of Monthly?
A pack lasts a fixed number of days and does not renew.
