Blackout Dates

What this page is for

A blackout closes days or hours, so nothing can be booked then. Use it for public holidays, repairs or a trainer's leave. It can close the whole gym, or only one trainer, one room or one class.

What you see

  • Export: download the list as Excel, CSV or PDF, or print it.
  • Add Blackout: make a new closure. You only see it if your role may add schedule changes.
  • The calendar: the arrows move a month back or forward. A closed day is tinted, with a coloured dot for each closure. A dashed border means only some hours are closed. Today has an outline.
  • The legend under the calendar: the colour for Global, Staff Member, Facility and Class.
  • All Blackouts: every closure, earliest first. Each shows who it is for, the dates and hours, the note, and Every year if it repeats. The pencil edits it and the bin removes it.

How to add a closure

  1. Click Add Blackout. Or click a free day on the calendar, or drag across several days.
  2. Under Affects, pick Global (all entities), Staff Member, Facility or Class.
  3. For a staff member, room or class, pick which one. Leave it empty to close all of them.
  4. Check the Start Date and End Date.
  5. Under Coverage, pick Full Day(s), or Specific Hours and set the times. Use + Add time range for a second closed time.
  6. Type the Reason / Note. It is required.
  7. Switch on Repeat annually for a closure that comes back every year, like a public holiday.
  8. Click Mark Blackout.

If clients are already booked in that time, a box lists them. Click Close anyway to save, or Go back to change it.

How to change or remove a closure

  • Change: click the pencil in the list, or click the closed day on the calendar. Change it, then click Save changes.
  • Remove: click the bin, then Remove blackout. This can't be undone.

Good to know

  • Global stops every booking in that time.
  • Staff Member stops that trainer's sessions. Empty means every trainer.
  • Class stops group classes and workshops: that class, or all of them.
  • Facility stops room hires and the classes held in that room.
  • Specific Hours close only those hours. The rest of the day can still be booked.
  • The timetable, the trainer times and the room times in the client panel leave the closed times out.
  • Repeat annually closes the same dates every year, even a break that runs over New Year.
  • Bookings already made are not cancelled. They stay booked. Contact the clients, and make any refund on Payments.
  • The same closure can't be saved twice. Edit the one that is there.
  • Dates follow the gym's own calendar and time zone.
  • Who can do it: anyone who may view scheduling sees this page. Adding, changing and removing each need their own permission. The owner can do everything.

Common questions

I closed a day, but a client was already booked. What now? The booking stays. Contact the client, then cancel or move the booking on Bookings, and refund on Payments if needed.

Can I close only the morning?
Yes. Pick Specific Hours and set the morning times. The afternoon stays open.

Why does my closure show on the same date next year?
Repeat annually is on. Edit the closure and switch it off.
