Most venues think no-shows are a customer problem. They aren’t. They’re a system problem — a series of small product decisions that, when you stack them up, dictate how often people forget, how easily they cancel, and how hard you make it for them to do either.

Here’s the short version of what we tell every venue we work with: send two reminders. Make at least one of them an SMS. Hold a deposit at booking — even a small one. And give people a one-tap cancel that doesn’t require an app.

Start with the cadence

Two reminders works better than one. Three reminders works worse than two. The right shape is: a confirmation immediately, a reminder 24 hours out, and a reminder 1–2 hours out. Skip the “your booking is tomorrow” email — it doesn’t move the needle.

Make it easier to cancel than to ghost

This sounds counter-intuitive but it’s the single highest-leverage change we’ve seen. If cancellation requires a phone call, customers ghost. If it’s a tap, they cancel — and you can rebook the slot.

“We added a one-tap cancel link to our reminder. Cancellations went up 12%. No-shows went down 38%.”

Deposits, even small ones

A $5 hold doesn’t recover much revenue when someone no-shows. But it changes the psychological contract. People are dramatically more likely to keep a booking they’ve paid anything for.

That’s the playbook. Boring, but it works.
